Privacy Policy

Heart of America Junior Classic (“HOAJC,” “we,” “us,” or “our”) is a volunteer-run nonprofit youth bowling organization. We collect information needed to register bowlers, conduct tournaments, administer scholarships and awards, communicate with families, and maintain tournament history. We do not sell personal information or use it for targeted advertising. Bowler names and competition results may be public, but private contact, birth-date, guardian, signature, and payment information is not publicly displayed.

Information We Collect

Depending on how you interact with HOAJC, we may collect:

  • Contact information, including names, mailing addresses, email addresses, telephone numbers, and parent or guardian information
  • Eligibility and bowling information, including birth dates, sanction numbers, bowling centers, averages, divisions, squad preferences, and bowl-with requests
  • Registration and participation information, including tournament entries, Junior Gold and High Game selections, check-in status, scores, placements, awards, accomplishments, and historical results
  • Agreements and requests, including electronic signatures, acceptance of rules, medical authorization, parental consent, media acknowledgments or opt-outs, and special requests
  • Scholarship information, including school and graduation information, GPA, coursework, activities, service, employment, essays, transcripts when requested, and other application materials
  • Payment records, including payment method, amount, status, and transaction reference—but not complete payment-card numbers when a third-party provider processes the transaction
  • Information voluntarily provided when someone contacts HOAJC, submits a form, or participates in an HOAJC program

Our website hosting or technology providers may automatically process limited technical information such as an IP address, browser or device information, visit date and time, requested pages, and referring page. This information is used to operate, secure, and troubleshoot the website, including preventing automated or excessive form submissions.

How We Use Information

HOAJC uses information to register participants; determine eligibility and divisions; manage rosters, waitlists, lane assignments, schedules, and check-in; conduct scoring and publish results; communicate with bowlers and families; process payments and donations; administer scholarships, awards, and accomplishments; respond to questions and requests; preserve tournament history; maintain website security; and meet applicable legal, organizational, and bowling-governance requirements.

Public Tournament Records and Media

Information directly related to competition may be publicly displayed, including a bowler’s name, tournament participation, division, squad, scores, placements, results, awards, and accomplishments. A bowler’s name may appear on a roster after registration and may remain in HOAJC’s historical tournament records.

HOAJC does not intentionally publish home addresses, birth dates, telephone numbers, private email addresses, guardian contact information, signatures, medical information, scholarship application materials, or payment information.

Photographs or video may be taken during HOAJC events and used for tournament reporting, historical records, or organizational communications. A participant or parent or guardian may submit the Media Opt-Out form for the applicable tournament.

Youth Privacy and Family Requests

HOAJC collects information about youth bowlers only as reasonably needed for tournament administration, communication, records, scholarships, and awards. A parent or legal guardian should complete and submit online registration for any bowler under 13.

A participant, parent, or legal guardian may contact HOAJC to ask what private information we maintain, correct inaccurate information, request deletion of private information that is no longer needed, report an improper disclosure, or ask that publicly displayed information be reviewed. We may request reasonable information to verify the requester’s identity and authority. Requests involving official scores, awards, or historical tournament records will be considered in light of HOAJC’s need to preserve an accurate competition history and applicable requirements.

Sharing Information and Service Providers

HOAJC may share information only when reasonably necessary with authorized directors and tournament staff; host bowling centers; bowling organizations or governing bodies; scholarship or award administrators; website hosting, storage, email, and communication providers; payment processors; or government agencies and other parties when required by law.

Online payment providers process card information directly under their own privacy policies and terms. HOAJC may receive a payment amount, status, method, and transaction reference, but does not receive or store complete payment-card numbers.

HOAJC does not sell personal information, provide family contact information for unrelated marketing, or use personal information for targeted advertising.

Security and Retention

HOAJC uses reasonable administrative and technical safeguards intended to protect information from unauthorized access, alteration, disclosure, or destruction. No method of electronic storage or transmission can be guaranteed to be completely secure.

Competition records—including names, participation, divisions, scores, placements, awards, and accomplishments—may be retained indefinitely as part of HOAJC’s historical record. Private administrative information, such as contact details, addresses, birth dates, signatures, waiver records, payment records, and scholarship materials, is retained only as long as reasonably needed for the purpose for which it was collected and for applicable recordkeeping requirements.

Changes and Contact Information

HOAJC may update this policy when its website, practices, technology, or applicable requirements change. The revised policy will be posted with a new effective date.
